Winterport Winery's Event Center Rental Policies

Thank you for your interest in Winterport Winery's Event Center, Pairings. Please thoroughly read the following information. It is our goal to provide you with the best possible service. To do this, we ask for your understanding and support of our policies.

Facility Use Information:

Daytime events must end at 4:00pm but will be negotiable depending upon availability and other scheduled events at Pairings. Evening events are limited to a 4 (four) hour window and must end by midnight. You will have access 1 (one) hour prior to your event starting time for set-up (band, DJ, caterer, etc.). If available, the event may be extended for an additional $100.00 per extra hour. If you exceed the time confirmed, a charge of $125.00 per hour will occur. You will be charged for a full hour for any part of an hour you, guests, members, invitees, or outside groups, contracted by you for the event, (band, DJ, caterer, etc.) remain in the room(s) beyond your confirmed event ending time.

Pricing is for the space only; it does not include tables, chairs, linens, food, beverages, etc. with the following exception:

For business meetings/conferences, upon the client's request, we will provide the following at no extra charge:

- DPL Projector & Screen
- Wireless Internet Access
- Conference/Speaker Phone
- Flip Chart

Food:

Our Resident Chef or our Event Coordinator will assist you with planning the menus for your event. Please call to schedule an appointment at 223-0990.

Outside Food and/or Celebration Cakes:

Upon a client's request and Pairings approval any food, including celebration cakes to be brought in from an outside source must be produced in a state licensed food kitchen.

Deposits, Payments, and Contracts:

Event rooms are not considered booked or confirmed until Winterport Winery's Event Center Pairings has received the deposit amount and a signed contract. The person booking the event is the sole person with authorization to make choices or changes, and takes full financial responsibility for all charges related to the event. Upon booking, a deposit equal to 75% of the room(s) rental value is due. This deposit is non-refundable for any cancellation and is required to guarantee your event. Checks must be made payable to Winterport Winery.

Final guest count, meeting equipment needs, and beverage selections are due 2 (two) weeks prior to the event date. The remaining 25% room(s) rental fee, 100% of beverage charges (plus 7% Maine State Tax and 18% Service Fee), equipment rental fees, and any other charges, are due 1 (one) week prior to the event date. This payment is non-refundable for any cancellations. All other fees and charges are due at the conclusion of the event.

If your organization is Tax-Exempt, you are required to supply Pairings with a copy of your Exemption certificate at least 4 (four) weeks prior to the event. If no proof of exemption is received, you will be charged for Maine State Tax.

Liability & Decorating:

Pairings is not responsible for any articles left on our premises before, during, or after your event. Pairings staff must hang any and all decorative items for liability reasons. All decorative items must be discussed with and approved by our office prior to the event. Pairings does not permit the affixing of anything to the walls, floor, or ceilings of rooms with nails, staples, tape, or any other substance. Any damages will be charged accordingly.

No rice, confetti, or birdseed may be thrown or used in the building or outside. No confetti may be used in any table or other decoration. The use of rice, confetti, or birdseed will incur a $100.00 cleaning charge.

It is your responsibility to pass this information onto anyone decorating and/or setting up equipment on your behalf. You assume full responsibility for any damage to the premises or equipment by members, guests, invitees, or outside groups contracted by you during the event and agree to indemnify and fully pay and reimburse for any and all repair and/or replacement costs required.

Alcohol/Bar:

Maine State Law prohibits any alcohol to be brought onto the premise, or removed from the premise. It is illegal for individuals under the age of 21 (minors) to purchase or consume alcohol. Anyone who is observed furnishing alcohol to a minor will be asked to leave along with the minor. We serve responsibly, using professional staff, and reserve the right to discontinue alcohol service to anyone at anytime.

Pairings will provide a bar service for your event at no charge if bar sales exceed a minimum amount of $150.00 otherwise you will be charged a $75.00 bar set-up and staffing fee. Pairings must purchase all alcohol. We are proud to offer our in-house beverages for your enjoyment. You may however request any out of house beverages that you might desire. Our event coordinator will assist you with the planning of your bar service.

Bar services may also be set-up as a "cash" bar.

Bands, DJs, and Other Entertainment:

It is your responsibility to advise entertainment providers for your event that they may not start setting up their equipment more than 1 (one) hour earlier than your confirmed event starting time.

Prices Quoted:

Prices are subject to a proportionate increase to meet increased costs of beverages and operating costs existing at the time of quotation (performing this contract) by reason of increases in present commodity prices, labor costs or taxes. You expressly grant Pairings the right to raise prices herein quoted and to make reasonable substitutions as necessary; you agree to pay such increased prices and accept such substitutions. Pairings agrees to give reasonable notice in the event of an unavoidable price increase or substitution.
